Company fleet management: vehicles, drivers and deadlines in one system
A dozen or several dozen vehicles, several companies and one spreadsheet with inspection dates. Fleet management quickly outgrows simple tools, and a missed deadline can be costly.
What usually causes problems
- inspection, insurance and medical check dates recorded in different places,
- no clear information on who is using which vehicle,
- faults reported verbally,
- difficulty assigning costs to a department, project or company.
What a fleet module can include
- a vehicle register with documents and history,
- allocation of vehicles to employees, departments and companies,
- deadline reminders: inspection, insurance, tyre change,
- reporting of faults and damage,
- a cost register and summaries for management,
- booking of shared vehicles.
Permissions in the fleet module
A driver sees their own vehicle and reports faults. The fleet manager oversees everything. Management receives cost and utilisation summaries. Each role has its own scope, and the data is kept in one place.
The fleet as part of a larger system
A fleet module delivers the most when it is connected to the rest of the system: to HR (who is a driver), to orders (which vehicle goes to which job) and to management reports.
An example from practice
In a system for a group of several companies, I built a fleet module with a vehicle register, allocation to employees and companies, and role-based permissions. See the case. If you want to get your company fleet in order, book a consultation.
